Organize + Energize: 5 Ways to Get Your Staff Organized

When you are busy and need to push work downstream, you want to have a staff that will be able to jump in and take over with little supervision. You want to be able to have confidence that if you give them a task they will be able to handle it and handle it well. The key is to have a staff that is organized.
Develop policies and procedures. Have policies and procedures in place. When new staff is hired they know what is expected of them and they will know what your company represents. Your entire staff will be on the same page and your office will have a smooth flow. Discuss new policies and procedures at a short meeting with your staff. Questions will be asked by staff and answered with everybody in the room so there is no miscommunication going forward.
Streamline work space. Keep office desks streamlined and organized. Physical disorganization is a distraction and causes unwanted stress. When a workspace is disorganized, information gets lost and efficiency is hampered. When clients visit your office, they don’t want to see a disorganized workspace. It doesn’t present well. Opinions will be formed about how you function as a company.
Time Management. Take the time to re-evaluate how your staff functions and how they utilize their time. Any situation I find myself in, I always ask myself if there is a simpler, more efficient way to tackle it. Start developing ways to streamline procedures. Your staff will have more free time than they know what to do with once they streamline, simplify, and get organized. Don’t make a task more complicated than it has to be.
Evaluate. If a disorganized employee doesn’t have the organizational skill set, they will struggle with systems and time management. Think about how they can function better in their space. Are they resistant to change, or do you find they don’t have the organizational skill set to develop working organized systems? Ask questions and see if they are struggling with organization. If you are disorganized, bring in a professional organizer in to help with the process.
Avoid failure. Don’t set yourself up for failure with a new staff member. When interviewing potential candidates, look for skills and qualities listed on their resume such as efficient, productive, organized, multi-tasker, and able to work independently. Be sure to screen them as best you can by asking questions about their organizational skills.
If you are disorganized, it is best you find an assistant that is organized or chaos will take place and you won’t be able to get out of each other’s way. Disorganized staff will create more work for you and your business will suffer because of it.
Having a support staff that is organized will make your life easier and you will be able to focus on the important issues that you need to deal with on a daily basis. Your business will become more productive and efficient saving you time and money and in turn increasing your revenue.
